Client Profile
As part of a larger international expansion, the client was now operating entities in Hong Kong, Mainland China, and Europe. With increased complexity came the need to streamline communication, task tracking, document sharing, and reporting across multiple teams and time zones.
Overview of the Full Expansion Strategy
This digital setup forms the fifth step in a global strategy, after:
Company formation in Hong Kong
WFOE creation in Mainland China
VAT registration in France
Integrated accounting across jurisdictions
Digital backbone with Monday.com and Make.com
Opening a corporate bank account in China
Sourcing optimization and supply chain management
Every component feeds into a larger goal: clarity, control, and coordination at scale.
Context and Objectives
The client needed:
A centralized workspace for project tracking and task management
Seamless integration of finance, operations, CRM, and logistics
Automations to reduce human error, improve speed, and eliminate manual tasks
A flexible structure that could evolve with their business without rebuilding from scratch
Our Intervention
Monday.com Structuring: Designed a tailored workspace including boards for projects, accounting, sourcing, logistics, HR, and client onboarding
Automation Blueprinting: Defined all repetitive workflows such as invoice generation, document storage, task reminders, and project phase transitions
Make.com Integration: Connected Monday.com to Google Drive, Xero, Gmail, and internal CRMs using advanced automation scenarios with webhooks, filters, and routers
Document Flows: Automated folder creation and file uploads linked to each client or order, with permanent sync between Monday.com and Drive
Finance Triggers: Enabled button-based invoice generation from within Monday.com, which pushed data into Xero, returned the invoice PDF, and updated statuses automatically
User Training and Support: Trained the client's team on use cases, board maintenance, and future scalability
Results
The client's entire operational backbone was digitized in less than four weeks.
Monday.com became the single source of truth across teams, replacing spreadsheets, emails, and scattered file folders.
Using Make.com, more than a dozen workflows were fully automated – saving hours each week and reducing the risk of human error.
Documents, invoices, and key communications are now automatically filed and labeled. Accounting, logistics, and sourcing teams are synced through visual boards and real-time notifications.
This setup laid the foundation for scalable, controlled growth – no matter how many clients, projects, or entities are added in the future.
Suggested Next Steps
Connect dashboards to group-level KPIs and financial metrics
Add automated client onboarding and support flows
Implement Slack or WeChat integrations for real-time team sync
